Casework holds two kinds of information: the details of the shops who use it, and the details of those shops' clients, entered by the shop. This page says what is held, who touches it, and how to get it back or have it removed.

Whose information this is
The client records inside a shop’s account belong to that shop. Casework holds them so it can run the shop’s estimates, agreements, updates and follow ups, and for no other purpose.
A homeowner deals with their cabinetmaker. Casework is the system the cabinetmaker runs on, so questions about a project are answered by the shop, and we help the shop answer them.
What is held
- The name, email address and role of each person on a shop’s team.
- For each project: the client’s name, email address, phone number and site address.
- The specification: measurements, photographs of the space, material and hardware selections, and the dates a job is scheduled for.
- The documents produced from that record, including estimates, agreements, proposals, care manuals and follow up emails.
- Payments recorded against a project, meaning amounts, dates and reference numbers.
- A log of what changed in the record, who changed it and when.
- Enquiries sent from the form on this website: name, shop, city, province or state, country and the contact detail given.
How a client sees their own documents
Clients are never asked to create an account or a password. Each document is opened through a single link, issued for one project and one purpose, which stops working on a set date: seven days for an estimate or an agreement, thirty days for an intake form, ninety days for a project walkthrough, and five years for a care manual, which is the length of the warranty follow up. The shop can switch any link off before then.
Who else touches it
Casework is delivered as a running service, so a small number of suppliers hold parts of it on our behalf. Each one is used for one job:
- Hosting and the servers the application runs on.
- The database and the file storage that photographs sit in.
- Delivery of the emails a shop sends from Casework.
- Drafting of wording, which is described below and is limited to text.
- Photo sharing with a site photo tool, and only where the shop has connected one.
- Card payments, and only where the shop has connected a payment provider. Card numbers go straight to that provider and are never held by Casework.
How wording is drafted
Some wording is drafted automatically from the project record and the shop’s own templates. It is grounded in what the record actually contains, so a fact the shop has not entered is left blank and flagged rather than filled in with something plausible.
Prices are arithmetic run on the shop’s own rates. Nothing is sent to a client until someone at the shop has read it and approved it. Content passed to the drafting supplier is not used to train models.
What is not done with it
Information in Casework is not sold, rented or shared with anyone outside the suppliers above. It is not used for advertising and it is not used to build a profile of anybody. This website sets no advertising or tracking cookies. A shop’s team members are signed in with a session cookie, which is what keeps them signed in and does nothing else.
Keeping it, exporting it and removing it
A shop’s records are held for as long as its account is open, then for thirty days after it closes so that an export can be taken, and then removed. An export of projects and client records is available at any time on request.
A shop can ask for a single client’s record to be removed at any point, and we will remove it, subject to any accounting record we are required to keep.
How it is kept safe
Every row in the database is tied to one shop and that boundary is enforced by the database itself rather than only by the application. Traffic is encrypted in transit. The keys capable of crossing that boundary exist only on the server and never reach a browser. Client names, addresses and phone numbers are kept out of application logs.
Asking about your information
If a shop entered your details, ask that shop first, since the record is theirs. Anything else can come to hello@usecasework.com.
